This policy explains how Freckle Art Pty Ltd, trading as Freckleart, handles personal information and confidential concept files submitted through the website or during a project.

1. Information we collect

In this policy, “Freckleart”, “we”, “us” and “our” mean Freckle Art Pty Ltd (ABN 27 670 636 110). We may collect your name, email address, phone number, billing address, country, business or brand details, legal entity name, ABN or other business registration number, accounts contact details, target markets, project descriptions, packaging requirements, quote and payment records, communications and technical information associated with your enquiry. We also collect the concept files, dielines, copy documents, logos, fonts, images, barcodes, printer specifications, proofs, annotated PDFs and other supporting assets you choose to upload.

For online quote acceptance and proof review, we record the nominated approver, verification activity, quote or proof details, declaration, decision, feedback and time of the action.

Automated concept screening

When you submit a JPG or PNG concept preview, the image may be securely processed using Google Cloud Vision to identify possible online image matches, recognisable logos and visible text. These results are used only as preliminary signals for Freckleart’s pre-quote assessment. They are not legal, trademark, ownership or licensing clearance.

2. Why we collect it

We use this information to assess enquiries, perform the Asset & Brand Risk Screen, decide whether a project is suitable, prepare quotes, administer payments, provide artwork services, communicate with you, maintain project records, protect our systems and comply with legal obligations. If required information is not provided, we may be unable to assess or accept the job.

3. How information is collected

Information is collected directly from you through this website, email, meetings, quotes and the project workflow. If you provide personal information about another person, you confirm that you are authorised to do so and have made them aware of the relevant collection.

4. When information may be disclosed

We may disclose information only as reasonably required to providers that support secure website hosting, file storage, concept screening, transactional email, analytics, accounting and project delivery; to professional advisers and insurers; or where required or authorised by law. Freckleart does not sell personal information.

5. Overseas processing

Some technology providers may store or process information outside Australia, which may include the United States and other locations used by those providers. We take reasonable steps when selecting and using service providers and limit access to what is required for the service.

6. Storage, security and retention

We use reasonable administrative and technical safeguards to restrict access to submitted concepts and project records. Customer job links use long private tokens, quote acceptances and proof decisions require verification through the nominated approver’s email, and uploaded files are not placed in a public file directory. No online system can guarantee absolute security.

Concept files for enquiries that do not proceed are normally scheduled for review and deletion within 90 days. Accepted project files are normally retained during the project and for up to 24 months after completion so we can respond to production questions and maintain continuity. Quote, invoice, payment, approval, dispute and other limited business records may be retained longer where reasonably required or required by law. Records and files are deleted or de-identified when they are no longer needed, subject to any legal or accounting hold.

7. Your choices and requests

You may ask what personal information we hold about you, request access or correction, withdraw an enquiry, or ask us to delete information that we no longer need to retain. We may need to verify your identity and may retain limited records where legally required.

9. Updates

We may update this policy when our services, providers or legal obligations change. The version and effective date shown on this page identify the policy currently applying to new submissions.
